Payroll Outsourcing Services

Payroll Outsourcing services are broken down into three phases:

[Implementation]

  • This is the initial set up phase. During this process, company and employee information is captured on the electronic payroll system. This process allows for complete recapturing of employee personal and payment information or simply importing existing payroll information from spreadsheets or an existing payroll software system. During this phase we perform a detailed analysis of exact requirements to ensure that your partnership with us will be accurate and that we live up to your expectations.

[Periodic Payroll Processing]

This phase refers to periodic (monthly, weekly or fortnightly) payroll processing and would include:

  • Affecting and updating any legislative and statutory changes.
  • Capturing any new engagements or affecting employee terminations.
  • Capturing of all payroll input and changes such as medical aid beneficiaries, overtime, commissions, loans and loan balances, provident funds, RA’s, bonuses, cash advances etc.
  • Processing of garnishee order, court orders or any other third party payments.
  • Capturing of leave taken and performing leave maintenance.
  • Generating of an electronic bank transfer file that enables you to transfer net salaries to employee bank accounts.
  • Generating the electronic UIF submission on a monthly basis and sending it to the Unemployment Insurance Fund.
  • Generating professional, confidential, security-sealed payslips on pre-printed payslip stationery.
  • Providing payroll reports of choice in electronic format (can be printed if required). Periodic reporting could include any reconciliation or analysis report pertaining to periodic or year-to-date payroll information, employee or leave information. Detailed third party payment reporting on which payments to be made to Medical Aid, Pension/Provident Funds, Unions etc.
  • All statutory reports required such as the EMP201 Return. We can electronically submit your EMP201 to SARS on a monthly basis if required.

[Annual/Tax Year End Processing]

This phase occurs once a year, during statutory tax year end.

  • Processing any annually required changes to employee information.
  • Provide all employees with an IRP5 or IT3(a) Tax Certificate in the format required by SARS.
  • Generating the EMP501 Return to reconcile all employees’ tax paid for the year.
  • Electronic submission of your EMP501 and employee Tax Certificate information to SARS.
  • Completing your Occupational injuries and Diseases Return (W.As 8)
